Your First Invoice with Iris
The Send your first invoice guide takes you from "who am I billing?" to an invoice in your customer's inbox, one step at a time: pick the customer, write the lines, and send it with a link they can pay from. It needs the Invoicing & Bookkeeping add-on.
Start it from Invoices (the Send your first invoice with Iris button), from Iris's plan on your dashboard, or from I want to….
What the guide does, and what it never does
The invoice the guide makes is an ordinary invoice: it sits on Invoices from the moment you save it, and you can finish it there instead. Nothing is issued, posted to your books or emailed until you tap Send the invoice. You can leave at any point with Save and finish later, or do it all by hand from Invoices.
1. The customer
Search your customers by name or email. Only customers show here, never suppliers. Once you pick one, you see their email address and payment terms.
- Set up this customer with Iris opens the wholesale customer guide for them, to set their terms, prices and email first.
- Not in your customers yet? Set them up first (with Iris or by hand), then come back from Invoices, where the button reads Resume.
You can't move on until you've picked a customer.
2. The invoice
Type each line: what you're billing for, the quantity and the unit price. Iris never fills in a price.
Payment terms come from the customer's record (for example Net 15), and the due date follows the number of days. You can change the terms for this invoice; with no terms, the invoice is due in 30 days.
Tap Save the invoice to save it as a draft. You can change it and save again as often as you like until you send it. If you change the customer in step 1, the draft follows, with that customer's terms.
You can't move on until the invoice has at least one line.
3. Get paid
You see the invoice, who it goes to and when it's due, and whether the email will carry a Pay button:
- With a Pay button: your customer can pay by bank transfer straight from the link. This needs Stripe connected and bank transfer on invoice links switched on.
- Without one: Iris says why and offers Set up getting paid, which opens the Get paid guide. You can still send the invoice; your customer pays you directly and you record the payment on the invoice.
Tap Send the invoice. That issues it (it gets its number and goes on your books) and emails it to the customer with the PDF attached. Send it again re-sends the same invoice.
If the customer has no email address, the guide says so and the Send button waits until you add one to their record.
Finishing
Finish marks the guide done and changes nothing else. You can finish without sending: the draft stays on Invoices for later.
Start over deletes the invoice only if you haven't sent it yet. A sent invoice is a document your customer already has, so it always stays.
Only people who can issue invoices (owners and admins, or a team role with that permission) can run the guide. Other team members who can see invoices can open it and read along.
