Exporting Your Records
Your orders, invoices, bills and payments belong to you, on every plan. Settings → Export your records packs them into one ZIP file of spreadsheets (CSV files) you can keep, open in Excel or Google Sheets, or hand to your accountant.
You'll find it near the middle of the Settings page. Only owners and admins can use it.
Getting your export
- Open Settings and find Export your records.
- Click Request an export.
- Wait a minute or two. The card shows Building and turns to Ready by itself.
- Click Download on the card, or use the link in the email we send you.
The email goes to whoever asked for the export. The link works for 7 days, then the file is deleted. If you need it again after that, ask for a new export.
You can ask for one export per hour. An export that fails doesn't count against that.
What's in the ZIP
| File | What's in it |
|---|---|
orders.csv | Every order, sales and purchase, with ship-to address, delivery fee, tax and total |
order_lines.csv | The items on each order, with quantities and prices |
invoices.csv | Your customer invoices, including their PO numbers |
invoice_lines.csv | The lines on each invoice |
credit_memos.csv | Credit memos, and the invoice each one was issued against |
bills.csv | Vendor bills you've entered |
bill_lines.csv | The lines on each bill |
payments.csv | Every payment you recorded: on orders, on invoices and on bills |
products.csv, contacts.csv, supplies.csv | The same files as the Export buttons on those screens |
A few things worth knowing:
- Cancelled orders and void invoices are included. Their
statuscolumn says so, so nothing disappears from the record, and you can filter them out in your spreadsheet if you don't want them. - Money is in dollars with two decimals (
57.50). The one exception ispack_priceinorder_lines.csv, which keeps four decimals, because the price of a single bag out of a box of 500 can be a fraction of a cent. - Dates are in standard form:
2026-09-02for a day,2026-09-02T14:03:00+00:00for a moment in time. payments.csvhas akindcolumn:order_payment,invoice_paymentorbill_payment.document_numberis the order, invoice or bill the payment was recorded against.- A credit memo belongs to one invoice, shown in
invoice_number. Its lines are in thelinescolumn, one cell per memo. - Deleted drafts aren't included. If you deleted an order or an invoice, it's gone from the export too.
Not your accounting journal
This export is your documents: what you sold, bought, billed and were paid. The accounting journal, trial balance and financial statements are part of Books & Financial Reports. See Books & Financial Reports.
It works on every plan
Free, Standard or any other plan, and even if your subscription has lapsed. Your records are yours to take whenever you want them.
Troubleshooting
The button is greyed out. Either an export is still being built, or you asked for one in the last hour. The card says when you can ask again.
The link says it has expired. The file is only kept for 7 days. Request a new export from Settings.
The status says Failed. Something went wrong while building the file. Click Request an export again. If it keeps failing, contact support.
